specpop started from the reality of working on large scale projects, where one scheme can involve hundreds of specifications and samples across multiple suppliers.
Requesting a sample sounds simple. You send an email and wait. In reality, some suppliers confirm quickly, some never reply, some items are discontinued, some need to come from abroad requiring a longer timeline and some get delayed because the right person is away.
When you are tracking 200+ items across inboxes, spreadsheets, supplier replies and memory, it becomes a job in itself. You end up digging through old email threads just to answer basic questions. Did we request this? Who replied? What is missing? When is it arriving? Can we still make it on time for the deadline?
I wanted to make that part of the process feel less chaotic, because in interior design, samples are not just admin. You cannot properly present, approve or deliver a project without having the right materials in front of you.

What can I upload?
specpop supports PDF, Excel and image files.
Does specpop send emails automatically?
No. specpop prepares the supplier request and records the action. You still control when the email is opened and marked as sent.
Can I use it without a full FF&E schedule?
Yes. You can start from drawings or manually add codes and sample details as the project develops.
Can a studio team use it together?
The product is being designed for shared studio workflows, so sample status, supplier replies and history can stay visible to the team.

This policy explains how specpop handles personal information collected through the specpop early access website.

1. Who we are
specpop is an early stage software product being developed for interior design and FF&E workflows. For personal information collected through this early access website, specpop is responsible for deciding how and why that information is used.

2. Information we collect
If you join the early access list, we collect the information you choose to provide:
Your email address.
Your first name, if you provide it.
Your studio or company name, if you provide it.
Our form and hosting providers may also receive limited technical information needed to deliver and secure their services, such as IP address, browser information, access time and referring page information.
3. How we use your information
We use the information you submit to manage the specpop early access list, contact you about early access, product availability and closely related launch updates, and understand interest in specpop.
For early access emails, our lawful basis is your consent. You give that consent when you choose to join the early access list after being told that you will receive these emails.
Where limited technical information is processed to operate, protect or secure the website, the relevant provider may process that information as necessary to provide its service and for legitimate security purposes.
4. Early access emails and withdrawing consent
You can withdraw your consent at any time. You can ask us to stop contacting you by emailing hello@specpop.com, or by using any unsubscribe option included in an email from us.
Withdrawing consent does not affect the lawfulness of processing that took place before you withdrew it.
5. Formspree and other service providers
We use Formspree to receive and store early access form submissions and to support email notifications connected with those submissions. This means the information you submit is sent to Formspree as a service provider to specpop.
Formspree states that its infrastructure is hosted in the United States and that it relies on Standard Contractual Clauses as a data processor for relevant international transfers. You can read more in Formspree's Privacy Policy and security information.
We may also use website hosting, email or infrastructure providers where reasonably necessary to operate the landing page and communicate with people who joined the early access list. We do not sell your personal information.
6. International transfers
Some service providers may process information outside the United Kingdom or European Economic Area. Where applicable, we rely on appropriate safeguards used by those providers, such as approved Standard Contractual Clauses, or another lawful transfer mechanism.
7. How long we keep your information
We keep early access information only for as long as it is reasonably needed for the purpose for which it was collected. In practice, this means we may keep your details while the early access programme and launch communications remain relevant, unless you ask us to delete them sooner.
If you opt out, we may retain a minimal record of your opt out where necessary to make sure we respect your request.
8. Your rights
Depending on where you live and the law that applies, you may have rights over your personal information, including rights to access, correct or delete it, restrict or object to certain processing, receive a copy of certain information, and withdraw consent.
To exercise a privacy right, contact hello@specpop.com. We may need to verify your identity before completing a request.
Your right to object: where processing is based on legitimate interests, you may have the right to object. You can also withdraw consent to early access emails at any time.
9. Cookies and tracking
specpop uses Google Analytics to understand how people use the website, including information such as pages visited, referral source, device and browser information, and general usage patterns. Google Analytics may use cookies or similar technologies and may process this information on our behalf.
We use this information to measure website traffic and improve the site. We do not use Google Analytics information to directly identify you. Where required by applicable law, we will ask for consent before using non essential analytics cookies.
10. Security
We take reasonable steps to protect the personal information collected through the early access page and use service providers designed to handle data securely. No internet based service can guarantee absolute security.
11. Complaints
If you have a concern about how we handle your information, please contact us first at hello@specpop.com.
If UK data protection law applies to you, you also have the right to complain to the Information Commissioner's Office. You can find information about making a complaint at ico.org.uk. If another European data protection authority is more appropriate for you, you may also have the right to complain to that authority.
12. Changes to this policy
We may update this Privacy Policy as specpop develops or if our data practices change. The latest version will be published on this page with an updated date.
